Senior Administration Officer (Prefer local candidates in Qatar)
Detail: – 15 + years’ experience in Senior position. Knowledge in validating / reviewing of Accommodation contracts & Service Contracts. Knowledge in SAP software. Knowledge in SAP software. Knowledge in validating / reviewing of Accommodation contracts & Service Contracts.Prefer local candidates in Qatar with transferable Visa.
· Review of all the Staff Accommodation & Camp requirement in terms of accommodation, Basic amenities, Welfare and HSE related requirements.
· Providing all the basic amenities to Galfar accommodation without any interruption. Review the quality of amenities frequently.
· Ensuring all the New Accommodation or Land facilities are taken as per the contract agreement, negotiating the dealing with the first party in a professional manner and getting the facility ready on time as per company Norms.
· Keep a Check on the renewal of contracts of accommodation, Camp and Land and process the Renewal & payment on timely manner by reviewing and coordinating with the project team.
· Regular Camp visit, walk through Inspection of accommodation premises carried out and corrective actions taken for any deficiencies.
· Provide instructions to Camp supervisor and other focal points relating to Accommodation requirements in terms of Welfare & HSE requirements and implementation of the same.
· Coordination with all the focal points in Camps & staff accommodation for required Resources – Accommodation Materials, Pantry materials, Maintenance materials. in consultation with General Manager- Finance.
· Generate the PR requests through SAP for all camp related requirements & Services and ensure the delivery of the required materials on timely manner.
· All the Invoice registry cleared for approval through SAP system on timely manner.
· Keeping a check on the Food services, Facility management services, laundry services and sorting out the grievances, complaints.
· Preparation & cross check on the Mess Verification for Camp Catering contractor invoices for all the camps on monthly basis.
· Monthly ensuring the Timesheets / Allowances are completed on time.
· Monthly preparation and submission of Internal Invoice relating to accommodation charges through internal SAP Debit note.
· Check on all the maintenance works carried out at all accommodations, Monitor the regular maintenance works and check that have been done properly as per the schedule.
· Carry out the Pest control service at all the camps, accommodations, office areas on timely manner.
· Coordination and ensuring the Daily inspection carried out at HO STAFF MESS Hall & Kitchen for Housekeeping & Maintenance related issues.
· Allocation of Time sheet & allowance for all Admin employees & upload in SAP system.
· Consolidated Monthly Camp Report submission & forwarding to higher management.
